Open Approvals in the module's sidebar — for example Purchases → Approvals. The page has up to three tabs.
#Waiting on me
Every request in this module waiting on your decision, oldest first: Document (type and number, with its date — click to open it), Party (the customer, vendor or payee), Amount, Submitted (who, and how long ago), Stage (Level 1 of 2, with the rule's name) and Decision with Approve and Reject.
- Approve — approves your level. If more levels remain the request moves on to the next approvers; otherwise the document posts.
- Reject — asks for a reason, which the submitter sees. Rejection stops the document and returns it to the submitter.
Search by number, party or submitter; where a module has several document types (Purchases), narrow to one with All documents. You never see your own submissions here — a document cannot be approved by the person who submitted it.
#All pending
For people who manage approval rules. Every pending request in the module, whoever it waits on, with a Waiting on column naming the approvers at its current level. A request that only its own submitter could approve shows No approver — edit its rule to add someone.
#Rules
For people who manage approval rules. The rules for this module's documents: Name, Applies to, Amount and the Approval chain (each level's approvers by name).
- Click New rule.
- Name * and Applies to * — only this module's documents are offered (Invoice in Sales; Bill, Expense, Purchase order or Requisition in Purchases; Journal entry in Accounting; Budget in Budgets).
- Amount ≥ and Amount < — optional bounds so only documents in that band need approval (leave both blank for any amount). The form says what the amount is compared with — the document total, a requisition's estimated value, a journal's total in base currency, a budget's planned expense.
- Active.
- Approval chain — one or more levels. For each level choose Approver users and/or Approver roles; anyone listed can approve that level. Level 1 must approve before level 2 sees the request.
- Save.
A document is matched against the active rules for its type. When several match, the one with the narrowest amount band applies. A rule cannot be deleted while requests under it are pending — switch it off instead.
