A recurring invoice is a template that generates invoices on a schedule — retainers, subscriptions, rent.
#Creating a template
Sales → Recurring → New recurring invoice:
| Field | Notes |
|---|---|
| Template name * | For example Acme monthly retainer. |
| Customer * | |
| Start date * / End date | Leave End blank for open-ended. |
| Frequency / Every | Daily, Weekly, Monthly, Quarterly, Yearly — Every 2 with Monthly means every two months. |
| Due days after | How many days after generation each invoice falls due. |
| End after | Stop after this many invoices. |
| Currency | |
| Auto-publish | On: each invoice is delivered (posted) as it is generated. Off: it is saved as a draft for you to review. |
| Auto-send | On: each generated invoice is also emailed to the customer. Requires Auto-publish. |
| Active | Off pauses generation without deleting the template. |
Add the line items, an optional Adjustment, Customer message and Terms & conditions. The totals box shows the Cycle total. Click Create template.
#Managing a template
The template page shows an Active / Paused / Ended tag, the Schedule (frequency, starts, ends, end after, Next run, Last run, due days, and On generate: Auto-publish or Save as draft, plus Auto-send email), the Per-cycle total, and tabs Overview, Generated invoices (every invoice produced, with Delivered / Draft and a link) and Run history (each run — Completed, Failed or In progress — with its message).
Buttons: Generate now (produce the next invoice immediately), Skip (advance the schedule one occurrence without generating), Stop (end the recurrence — confirm Stop this recurrence?), Resume, Edit and Delete.
