5.12Pick, pack and ship

Chapter 5 · Sales·3 min read·4 topics

Everything that happens in the warehouse between confirming a sales order and the goods leaving the building. Essentials plan and above.

Nothing here moves stock by itself. Shipping records the same delivery the order has always used, so there is exactly one document that takes stock out and posts the cost of what was sold. The quick Deliver button on a sales order still works as before, for anyone who does not want the full sequence.

#Pick lists

Sales → Pick Lists, or Create pick list on a confirmed order's Fulfilment tab. A pick list is the sheet the warehouse walks with. It can cover one order or several at once — a wave — and it lists every line still to pick, sorted by item code so the walk runs in shelf order.

The picker enters what actually came off the shelf — typed, or by scanning each item's barcode into Scan to pick, one scan per unit — and clicks Confirm picking. Picking less than asked is fine: the remainder stays open and the next pick list picks it up. Picking more than the sheet asks for is refused. Pick sheet prints it.

Statuses: Draft → Picking → Picked; Cancelled. A confirmed pick list is cancelled rather than deleted, and neither is possible once parcels have been packed from it.

#Parcels

Pack on the order's Fulfilment tab opens the packing panel: the lines that are picked but not yet packed on the left, the parcel's details on the right. Choose the type (box, pallet, envelope), and either type a weight or leave it blank to have the parcel add up the weights of the items going into it — which works once items carry a unit weight (Chapter 10.2). Pack again for a second parcel. Only what has been picked can be packed.

Each parcel prints a packing slip.

#Shipping

Ship hands the parcels to a carrier. Enter the carrier, service, tracking number and link, the ship date, what the carrier charged and which vendor record the carrier is. Tick the box to email the customer their tracking link.

Shipping does four things at once: it records the delivery for what is in the parcels, which moves the stock and posts the cost of the goods sold; it marks the parcels shipped; it emails the customer; and it sets the order's fulfilment to shipped. Every refusal the delivery already applies still applies — an unconfirmed order, shipping more than was ordered, or stock the warehouse does not have.

Mark delivered closes it off when the goods arrive. Bill the carrier turns what the carrier charged into an ordinary bill to that vendor, posted to Freight and Shipping, so it goes through the same approvals and period locks as any other bill. A shipment bills its carrier once.

A shipment can also be attached to an invoice that delivered its own stock, when all you want is a tracking number to show the customer.

#Watching an order

The order's Fulfilment tab shows, per line, what was ordered, picked, packed, shipped and delivered, and a status for the order as a whole: Not started, Picking, Packed, Partly shipped, Shipped, Delivered. Those numbers are worked out from the documents themselves, so deleting a pick list or a parcel simply removes its contribution — an order can never claim progress that no longer exists.

Sales → Shipments lists every consignment with its carrier, tracking number and cost. Customers see their own deliveries and tracking links on the invoice page of the customer portal (Chapter 21).
