Accounting → Journals lists every entry on the books: the postings your invoices, bills, payments, expenses, payroll and stock moves made, the journals the bank feed posts when you categorise a line, and the manual journals you write yourself — accruals, adjustments, corrections, depreciation you calculate yourself, anything without a document.
#The list
Journal # (from the JNL sequence), Date, Type (Invoice, Bill payment, Payroll, Bank journal, Manual journal, …), Document # (the source document's own number), Description, Amount and Status (Posted, Draft or Reversed). Clicking a document entry's number opens the document; clicking a journal's number opens the journal. Filter with All entries / Manual journals / Document entries and by status, or search by journal number, document number or memo. Only manual journals can be edited or deleted here, and only while unpublished.
#Creating a journal
- Accounting → Journals → New journal.
- Header: Journal date *, Journal # (auto when blank), Reference, Journal type (a label such as Adjustment), Currency and Exchange rate for foreign-currency entries.
- Lines — at least two. Each: Account *, Description, Dimensions, and Debit or Credit (entering one clears the other).
- The footer shows Total debit, Total credit and Difference — red until it reaches zero, green when balanced. An unbalanced journal cannot be saved: Debits and credits must balance (off by 50.00).
- Description for the whole entry; attach supporting files.
- Save as draft or Save & publish.
#The journal page
Header with number, status, date, reference, currency and published date; Summary of debits, credits and total; tabs Lines and Approvals.
- Publish posts a draft (or, if an approval rule matches, submits it for approval — it posts automatically once approved).
- Submit for approval can be chosen explicitly.
- Unpublish reverses the postings and returns the journal to draft (Unpublish this journal?). Refused if the period is locked.
- Edit / Delete — drafts only. Download PDF.
