#Currencies
Code, Name and Symbol for each currency you transact in; the base currency is tagged and set under General. New currency — a quick pick or an ISO code. Multi-currency needs the Essentials plan.
Exchange rate feed. Rates are fetched once a day — Nepal Rastra Bank's official buying and selling rates, the European Central Bank's reference rates, and an open daily feed for the rest — and kept with their date. With Use the daily rate feed for documents on (the default), a document in another currency that you save without a rate takes the newest rate on or before its date: the bank's selling rate for what you pay (bills, purchase orders, expenses, vendor credits) and the buying rate for what you receive (invoices, receipts); journals and transfers take the mid rate. The form prefills the rate and names its source under the field; a rate you type always wins, and the feed never changes a saved document. The Nepalese rupee is pegged at 1.60 per Indian rupee, so either one is worked out from the other when the feed has no direct figure. Fetch now pulls today's rates on demand (a year of history the first time). Switch the feed off and every foreign-currency document must carry a typed rate, as before.
#Accountant
Accounting basis, chart-of-accounts rules, period locking, closing a period and the year-end close — Chapter 9, section 9.7.
#Default Accounts
Which account each part of the system posts to. One row per role — Accounts Receivable, Accounts Payable, Due from Group Companies, Due to Group Companies, Tax Payable, Inventory Asset, Goods Received Not Invoiced, Purchase Discount, Purchase Price Variance, Purchase Credit Variance, Sales Discount, Other Charges, Other Expenses, Undeposited Funds, Bank Suspense, Outstanding Receipts, Outstanding Payments, Internal Bank Transfer, Exchange Gain, Exchange Loss, Opening Balance Equity, the Payroll roles (Wages, Employer Tax, Benefits, Reimbursements, Cash Clearing, Withholdings Payable, Owner's Draw) and Manufacturing Costs Applied — with the account currently bound to it. Change a binding by picking another account of the allowed type. A posting whose role is unset stops with a message naming this page.
#Opening Balances
Migrate from another accounting system — a guided three-step migration: 1. Trial balance (post your account balances as of the cutover date), 2. Customer & vendor balances (each contact's unpaid amount as of cutover, so ageing starts right) and 3. Historical transactions (open the Bulk Import for sales invoices, bills, expenses, payments, payroll entries and bank receipts — Chapter 9, section 9.6).
#Transaction Numbering
Prefix and next number for every document type. Changes apply to documents created after saving — existing documents keep their numbers. One row per Module (invoices, estimates, sales orders, receipts, credit notes, bills, purchase orders, vendor credits, payments received and made, expenses, journals, adjustments, transfers, work orders…) with an Auto-numbering switch, Prefix, Next number (leading zeros are kept: 0001 → 0002) and a Preview. When auto-numbering is off the module falls back to its built-in sequence, or the number you type on the form.
#Price Lists
Settings → Sales → Price Lists. An item's own Sell price and Cost price are the fallback; price lists and rules sit above them.
- Price lists — Selling or Buying, one currency each, optional validity dates. A list holds prices per item, per unit and from a minimum quantity (from qty), so 1–99 units and 100+ units can carry different rates. Assign a list to a customer (Customers → Price list) or vendor, and set one as the organisation default for contacts without their own.
- Rules — If any item / the item / variants of an item / items in a category, and any customer / the customer, and the quantity is at least N, then a % off, an amount off per unit, or a fixed rate. One rule fires per line: the contact's own before a general one; then an item rule, a variants of rule (it covers every variant of that item, Chapter 10.12), a category rule and an all-items rule, in that order; then the highest Priority.
- How a line is priced — the rule, else the contact's list, else the default list, else the item's own price. A list serves one currency: on a document in another currency it is skipped. The line keeps the rate it was given and shows where it came from under the rate (from Wholesale, rule Contract 500+, list price); a rate you type reads typed and sticks through save, PDF and edit — click list price to go back.
#Tax Categories
Labels a tax rule can match on. Two kinds, chosen when you create one:
- Customer or vendor — Reseller, Export, Government, Charity. Pick one on a contact under Tax category.
- Item — Goods, Digital services, Food, Freight. Pick one on an item under Tax category.
A category on its own changes nothing. It becomes useful the moment a rule names it. A category in use by a rule, a contact or an item cannot be deleted; make it Inactive instead, which leaves it on the records that already carry it and takes it out of the pickers.
#Tax Rules
If the customer, the item, the destination or the date matches, then the line starts at this tax rate — or exempt.
Each rule reads as one sentence. Applies to is Selling or Buying. Under If you add conditions, and a condition you do not add means "any":
| Condition | Matches against |
|---|---|
| Customer or vendor category | the Tax category on the contact |
| Item category | the Tax category on the item |
| Country | the shipping country on the contact, or the billing one |
| State or region | that address's state, by its code or its name |
| Tax treatment | the Tax treatment typed on the contact |
Under Then the rule either names a tax rate or marks the line exempt, in which case it carries an exemption code — the reason, which the tax reports need. Also set dates, priority or a note adds In effect from / Until and a Priority.
Which rule wins. The one that pins down the most conditions. A rule naming the party, the item and the region beats a rule naming only the region, whatever their priorities. Priority only breaks a tie between rules that pin down the same number of conditions. When no rule matches, the item's own sales or purchase tax is used; when there is none of that either, the line is left with no tax, exactly as before this page existed.
If you write a rule that a narrower one already covers, the drawer names that narrower rule before you save, so a rule that would never fire is not left looking configured.
Try it, under the list, asks the resolver what a line would start with for a customer, an item and a date, and says which rule answered. It runs the same code the forms run.
On a document. A line picks up its tax when you choose the item, and says underneath where that tax came from — Tax rule: Resellers are exempt. Changing the tax yourself replaces that with Set by hand and sticks; use the rule puts the resolved one back. Documents already saved are never touched: they keep the tax they were saved with.
#Analytic Dimensions
Plus plan. Tag transaction lines by Cost Center and Project (both seeded for every organisation), Department, Region or any breakdown you define, for reporting that cuts across the chart of accounts. Fixed assets carry their dimensions on every posting they make, so depreciation by cost centre is a Profit & Loss filter away.
Project — its values are your projects in Collaboration (tagged From projects): one per project, coded PRJ- and the project's number, renamed and archived with the project. They are not added, renamed or deleted here — click a value to open its project, or change the project in Collaboration → Projects (Chapter 15). The dimension's name, description and applicability can still be edited; its code is fixed.
Dimensions — each dimension has a Code, a Dimension name and its Values (Admin, Engineering, Marketing…). Flags: Required (expected on every transaction line), Hidden (not selectable on transaction lines), Inactive.
Auto-fill rules — rules that split an amount across dimension values automatically (60 % Sales / 40 % Support) so you do not enter percentages on every line.
Dimensions appear as the Dimensions column on invoice, bill, expense and journal lines, and as a filter on the financial reports.
