19.2How a report page works

Chapter 19 · Reports·2 min read·1 topic

Every report opens on a paper — a centred, print-ready document — with a toolbar above it:

  • Report period with presets (Today, Yesterday, This week, This month, This quarter, This year (YTD), Last week, Last month, Last quarter, Last year, Last 7 / 30 / 90 days, Last 12 months) or From date / To date. Point-in-time reports (Balance Sheet, Asset Register) use a single As of date instead.
  • Accounting method — Cash / Accrual on the reports where it applies. On Cash, invoices, bills, credit notes and vendor credits count when they are settled; every other posting — a journal, an opening balance, an asset bought on credit, a payroll accrual — appears as posted, receivable or payable leg included, so the cash-basis balance sheet still balances.
  • Display columns by — Total, or split the period into Day, Week, Month, Quarter or Year columns.
  • Compare to (financial statements) — a popover with Time Periods: None, Previous period (PP), Previous year (PY), Year-to-date (YTD), Previous year-to-date (PY YTD) or Custom period (CP), plus Calculations to add $ change and % change columns. The Balance Sheet, being point-in-time, offers PP and PY.
  • Report settings (the gear) opens the Customize report drawer for the remaining options: Display (Method — Indirect or Direct — on the Cash Flow; Hide rows with all-zero values), Percentages, Aging Buckets (Bucket size (days), Number of buckets, quick presets and a preview of the columns), and Filter by Accounts, Business units and Analytic dimensions.
  • The document toolbar has Refresh, Print and Export (Export as CSV, Export as Excel (.xlsx)), and a density toggle for compact or comfortable rows.

The paper's heading repeats the report name, the organisation, the basis and the period, so a printout stands on its own.

#Reading the table

  • Hierarchical reports (Profit & Loss, Balance Sheet, Cash Flow, General Ledger) have expandable rows; totals are bold. Click a section's triangle to fold or unfold it.
  • Anything that references a document — a reference number, an invoice, a journal — is a link to that record.
  • On the Business Performance report the headline tiles drill through to the underlying statement for the same period.
