2.7How every record page works

Chapter 2 · The Workspace and finding your way around·1 min read·1 topic

Opening a record shows a view page with the same anatomy everywhere:

  • A header card with the record's number, status pill, the customer or vendor, and the key dates and totals.
  • Action buttons on the right — the primary action for the record's current status (for example Mark as delivered on a draft invoice, Add Payment on a sent one), plus Edit, PDF, Send Mail and a ⋯ menu with the less common actions.
  • Tabs — typically Overview (the document itself), Journal Entries (the general-ledger postings it created), Payment transactions or similar, Approvals where an approval rule applies, and Activities.
  • An Attachments area: drop files onto it or click Attach files. Files up to 10 MB each. Attachments stay with the record, and a PDF sent by email can include them.
  • A lifecycle timeline — created, updated, submitted for approval, approved, posted, payment recorded, emailed, voided — with who did it and when, drawn from the audit log.

#Activities

The Activities tab (on customers, vendors, invoices, bills, tickets and most other records) is a running conversation about the record:

  • Send message — posts a message visible to the whole team.
  • Log note — an internal note, marked Internal — only visible to your team.
  • Schedule activity — a follow-up with a summary, due date and an optional assignee (for example Call customer about overdue invoice). Scheduled activities show up in the assignee's notifications.
