10.15Stock counts

Chapter 10 · Inventory·2 min read·3 topics

A stock count checks what is really on the shelves against what the books say, and posts the differences. Count a whole warehouse (a physical inventory) or a few bins, categories or items (a cycle count).

#Making the sheet

Inventory → Stock Counts → New stock count: the count date (the sheet shows stock as of that date, and the differences post on it), the warehouse, the variance account the differences go to (shrinkage, inventory variance), and optionally what to count: bins, categories, items. Make the sheet lists every item, bin and batch with stock as of that date, in bin pick order, with the quantity on the books. An item named in Items is listed even with nothing on the books, so a found item can be counted. Stock never placed in a bin shows as Floor.

#Counting

Type the quantity found in Counted and move on; each line saves as you go, and the difference shows beside it. Or scan: focus the scan box and scan an item's barcode; each scan adds 1 to that item's line (its uncounted line first), and an item not on the sheet is added. A batch item found off the sheet is added with its batch number from the line's lots picker.

While you count, the sheet keeps showing the books as of the count date. If stock moved after the sheet was made, the line is tagged moved and shows the current figure; the difference is always against the books, never against the old sheet. Refresh sheet (the ⋯ menu) adds lines for stock that appeared; Set uncounted lines to zero fills the rest when a full count is finished; Print count sheet prints the page for a paper count. Uncounted only and Differences only narrow the list.

#Posting

Post books every counted line's difference as of the count date: one inventory adjustment up and one down, reason Stock count, in the variance account, placed in the counted bins and batches. Uncounted lines are left alone. The count then shows Posted with links to its adjustments; the adjustments carry the count number. A posted count is kept; to undo it, delete its adjustments.

A serial-numbered item is counted by quantity: units found short leave (oldest first), but units found extra can't be booked without their serial numbers: receive them with an adjustment up that names the serials, then count. Period locks apply to the posting date like any adjustment.
